Pilates Eagle Rock Studio Policies & Procedures
At Pilates Eagle Rock (Good Body Pilates Studio, Inc.), we strive to provide a professional, welcoming, and safe environment for all clients. To ensure the best experience for everyone, we ask that you follow the policies below.
Accounts, Waivers & Package Policies
All clients participating in private sessions, semi-private sessions, or group classes are required to create a Momence account and complete the studio waiver prior to attending their first session.
Each client must have their own individual account. Packages and single sessions are non-transferable and may not be shared between clients. Every participant must purchase and use their own sessions, regardless of whether they are attending a private, semi-private, or group class.
To ensure accurate scheduling and account management, all bookings must be made through the participating client's own account.
Reserve Responsibly
Pilates Eagle Rock is an appointment-based studio. Please reserve only the classes and sessions you intend to attend. This helps us minimize cancellations, open more spots for other clients, and keep our schedule running smoothly.
All private, semi-private, and group classes must be prepaid to secure your spot.
For clients with recurring private or semi-private appointments, future sessions must be paid for in advance in order to remain on the schedule.
If you purchase sessions individually or use a package, please monitor your remaining sessions. Once you are down to your final session, you must purchase either a single session or a package of your choice to continue reserving future appointments. Unpaid appointments may be removed from the schedule and offered to other clients.
Semi-private sessions are designed for clients who bring their own partner(s). Pilates Eagle Rock does not match clients together for semi-private sessions.
Payment Required
All classes and sessions must be prepaid to confirm your reservation.
All sales are final. Payments are non-refundable, non-transferable, and may not be exchanged, shared, extended, or credited toward other services.
If a class or session is not paid for in advance, it may be cancelled and removed from the schedule.
Package Expiration Policy
All single sessions and packages expire six (6) months from the date of purchase.
New Member Packages expire twenty-one (21) days from the date of purchase.
Expired sessions will not be refunded, transferred, credited, extended, or reactivated.
Cancellation Policy
We enforce a strict 24-hour cancellation policy to respect both our instructors' time and other clients.
• Group Classes: Must be cancelled at least 24 hours in advance through the MindBody Desktop or App. Late cancellations will result in a class being deducted from your package.
• Private & Semi-Private Sessions: Must be cancelled at least 24 hours in advance through the MindBody Desktop or App. Cancelling within 24 hours or requesting to reschedule still counts as a late cancellation, and the session will be forfeited.
To cancel, log into your MindBody account, go to Schedule, and click Cancel for your class or session.
If you are unable to cancel online, please contact the studio through MindBody or email info@pilateseaglerock.com. Do not contact instructors directly regarding cancellations.
No Show Policy
Clients who fail to attend a scheduled class or session without cancelling at least 24 hours in advance will be considered a no-show and will forfeit the session. No-shows are not eligible for refunds, credits, transfers, rescheduling, or exceptions.
Studio Communication
For scheduling, cancellations, waitlist questions, payments, account changes, or general studio inquiries, please contact Pilates Eagle Rock directly through MindBody or by email at info@pilateseaglerock.com.
Please do not contact instructors directly regarding scheduling, cancellations, payments, or account matters. Instructors are not responsible for managing studio operations and cannot make exceptions to studio policies.
Waitlist Policy
If a class is full, you may join the waitlist through the MindBody Desktop or App.
As spots become available, clients will be automatically added to class in the order they joined the waitlist and will receive a notification.
If you are added to class from the waitlist and can no longer attend, you must cancel your reservation to avoid being charged.
If you are on the waitlist and have not received a notification but still wish to attend, we recommend arriving at the studio at least 5 minutes before class begins. In the event of a late arrival or no-show, available spots may be offered to waitlisted clients who are present, in the order they joined the waitlist.
If you are late to a class, your spot may be given to a waitlisted client who is present at the studio.
Arrive On Time
We start all sessions on time. Please arrive 5 minutes before your session to set up, settle in, and warm up. Being punctual ensures you're fully prepared, helps avoid disruptions, and allows your body to safely transition into movement. Missing the warm-up may increase the risk of injury and reduce the effectiveness of your session. Late arrivals will not be admitted out of respect for the instructor and other participants. If you are late for a group class and the class is full, you may forfeit your spot to a waiting client.
Late Arrivals
Late arrivals disrupt the flow of class. If you arrive more than 10 minutes after the start of a private or semi-private session, you will not be admitted and will forfeit your session. If you arrive after the start of a group class, you will not be admitted and will forfeit your session. Please make sure to arrive on time.
Instructor Assignments
Instructor assignments are subject to change without prior notice. While we make every effort to maintain the published schedule, substitutions may occasionally occur. Changes in instructor assignments do not qualify for refunds, credits, or exceptions to our cancellation policy. We appreciate your understanding.
Class Levels
Choose classes appropriate for your experience and fitness level. If you're new to Pilates, we recommend starting with the New Member Package (3 Privates for $255) to build a solid foundation before joining group classes.
If you're unsure which class is right for you, our staff is happy to help.
Intermediate and Advanced classes require prior approval from the studio.
Equipment Use
For the safety of all clients, Pilates equipment may only be used during a scheduled session or class under the supervision of a Pilates Eagle Rock instructor. Clients may not use studio equipment before, after, or between sessions unless specifically directed by an instructor.
Clients must follow instructor directions regarding equipment setup, spring changes, and use of studio equipment.
Age Requirements
Students under the age of 16 must receive prior approval from the studio. Please contact us for details before booking.
Attire
Wear comfortable, moveable clothing appropriate for Pilates. Avoid clothing with zippers or loose fabric that could get caught in equipment.
Grip socks are required for all sessions. You may bring your own or purchase a pair at the studio.
Towels are not provided, so please bring your own if needed.
Please avoid wearing strong perfumes or scented products, as they may cause discomfort to others.
For the protection of our equipment, kindly remove jewelry, belts, and accessories before class.
Cell Phones
For a peaceful environment, please silence your phones and leave them in the cubbies. Phones are not permitted in the main studio area. If you need to take a call, please step outside to avoid disturbing others.
Personal Belongings
Pilates Eagle Rock is not responsible for lost or stolen items. Please store your personal belongings in the cubbies and refrain from bringing them onto the equipment.
No food or drinks are allowed, except water.
Water is available for purchase. We also encourage clients to bring reusable water bottles. Please note that we do not have a water fountain on-site, so we recommend bringing your own water bottle to stay hydrated during your session.
Children in the Studio
Children may not accompany clients into sessions or be left unattended in the lobby or studio at any time.
Clean Up After Yourself
Please wipe down any equipment and/or props you use and return them to their proper place after your session. We appreciate your cooperation in keeping the studio clean and organized.
Feeling Sick
For the safety and well-being of our community, please stay home if you are feeling unwell or experiencing symptoms of a contagious illness.
If you are unwell during your session, your instructor may end the session, and you will be charged in full.
To help prevent the spread of illness, please cancel at least 24 hours in advance if you cannot attend due to illness.
Client Conduct
Pilates Eagle Rock reserves the right to refuse or terminate service at its discretion. No refunds will be issued for terminated services.
